PLEASE NOTE

When MTA signs a contract with the MTA Host Hotel (Sonesta Philadelphia), MTA commits to booking a certain number of rooms. The rooms generate revenue for the hotel, which allows us to receive complimentary Wi-Fi in guest rooms, complimentary meeting space for our caucus meetings, as well as concessions like office space for the MTA and NBI meetings and discounts on our caucus coffee/breakfast and the AV equipment.

Delegates who make alternative housing arrangements and do not stay at the host hotel put MTA at risk of losing our contracted concessions and paying penalties for under-booking. This will make it more expensive to hold our caucus meetings. It also hurts our negotiating power with future hotels.

HOTEL BOOKING INSTRUCTIONS

• When booking a room for multiple people, please indicate the name of your roommate(s) during the hotel reservation process.
• Hotel reservations must be made by June 6, 2024 (to secure discounted rate).
• MTA group rate is $199 per night, per room, for up to two guests. $219 for 3 guests, $229 for 4 guests.
• Room rate does NOT include 7.05% occupancy tax, 8.56% city tax or 0.75% levy tax (Total room tax= 16.36%).
• These discounted rates are available for MTA delegates three days before and three days after contracted dates, pending availability. (For the range of June 24, 2024 - July 11, 2024)
• If you wish to cancel your room, please do so 48 hours prior to scheduled check in to avoid cancellation penalties.

PAYMENT

UPON MAKING YOUR RESERVATION ONLINE

• When making the reservation by credit card, the hotel will request a credit card number, but the hotel will not charge the card at the time of reservation.
• When making the reservation by debit card, the hotel will charge one room night’s deposit.
• When making a reservation by check, the hotel will charge one room night’s deposit.

UPON ARRIVING AT THE HOTEL

• When you check in to the hotel, the hotel will put a HOLD on the credit card that it has on file for the full cost of your stay. IF you intend to split your room cost between multiple credit cards, you will need all of those credit cards (and their owners present) at the time of check-in.
• Personal checks will not be accepted unless they are received at least one week prior to arrival. Checks should be mailed to:

• Checks should identify the delegate or delegates being covered by the payment.
• If you are a Local Treasurer and plan to prepay for a number of delegates’ rooms, please contact Brian Harrison at brian.harrison@sonesta.com for the credit card authorization form.

INCIDENTALS

• The MTA has asked the hotel to “OPT OUT” all MTA Delegates from the usual “Incidental Hold” policy which allows guests to charge items to their room. We do this so that MTA Delegates will NOT have an incidental charge applied to their credit cards. Please do not charge items to your room.
• If this arrangement does not work for you, at the time of check in, you can request to OPT IN to have an incidental hold applied to your credit card. That amount will be $100 for the duration of your stay (and the hold will be removed after you depart.)
